Prevail User Types & Participant Roles
Access to Prevail Sessions, Session features, and Session Review depend on Prevail user type and participant role. Members have Prevail accounts with full access to features, while Guests join without accounts and have limited permissions. Additional restrictions apply to participants assigned the Limited role.
Prevail Users
Prevail users are either Members or Guests based on whether they have accounts and how they join Sessions. Members log in with Prevail before joining Sessions while Guests request access from the Waiting Room.
Member
Members have Prevail accounts created individually or through their organization and have full access to Session features, Session Review, and all platform features.
Guest
Guests are participants who join Sessions by requesting access from the Waiting Room. During Sessions, Guests can view, present, and download shared files but cannot upload files. After Sessions end, Guests must create an account to access Session Review and Session materials. Any Session participant can invite Guests by sharing the direct Session link.
Participant Roles
All users present in a Session are participants, regardless of Prevail membership. Participant roles determine what features and controls are available during Sessions and in Session Review. Participants are assigned either the Standard role by default, or the Limited role for enhanced data security.
Session Host
Prevail may provide a Session Host to fulfill the role and responsibilities of a court reporter or Session Manager (subject to State laws), with authority to admit or remove participants, swear in witnesses, stamp exhibits, and start and stop proceedings.
Standard Participant
Standard participants can access all Prevail Sessions features. All participants are Standard unless they are assigned the Limited role.
Limited Participant
Limited participants have restricted permissions designed to enhance Session data security. Limited role restrictions apply to both live Sessions and Session Review features. The Limited role is assigned either during Session scheduling or by the Host as participants enter the Session.
In-Session Restrictions
Limited participants do not have access to files in the Session Exhibits panel, including viewing, downloading, uploading, or sharing files. The AI Speech Capture panel displays file names without active links, and Clips, Flags, and audio replay features are disabled. Limited participants may only view and annotate active file presentations. All other Session features, such as chat, Participants panel, Session Details, and toolbar controls remain available.

Platform Restrictions
Limited participants cannot view or download files in the Prevail Briefcase or Session Review. They can view and search the AI Transcript in Session Review, but do not have access to Clips, Flags, audio playback, or file links. File presentations remain available for viewing in the Video Module, but the video file cannot be exported. All other Session Review features, including video, AI Transcript, and playback controls remain available.
